Which one do you need?
- Registered for GST: use the tax invoice. The ATO says that if a customer asks for a tax invoice, you must give them one within 28 days, unless the sale is $82.50 (including GST) or less. Most tradies simply send one for every job.
- Not registered for GST: use the plain invoice. business.gov.au says you must not use the words “tax invoice”, and you don’t add GST to your prices.
What’s in the templates
- Your details: business name, ABN, licence number and contact details.
- The invoice: invoice number, date issued, payment due date and the quote or job number it relates to.
- The customer: name or business name, ABN for business customers, site address and their reference or purchase order number.
- The work: what you did or supplied, with quantities and prices.
- Totals: subtotal, GST and the total including GST on the tax invoice; one total on the plain invoice.
- How to pay: bank details, the payment reference to use and any other ways to pay.
Filling it in
Give every invoice its own number. Numbering them in order makes it easy to find one when a customer rings about it. Describe the work in words the customer will recognise, with quantities and prices for labour and parts.
On the tax invoice, show the GST as its own figure. The ATO also accepts a line saying “Total price includes GST” when the GST is exactly one-eleventh of the total. If some items are GST-free, mark them so it is clear which items are taxable. For a sale of $1,000 or more, the customer’s name or ABN has to be on it.
Always fill in the due date and how to pay, so the customer knows exactly what to do. An emailed PDF is fine: the ATO says a tax invoice doesn’t need to be on paper.
