What’s in the template

  • Your details and the quote’s: business name, ABN, licence number, quote number, date and how long the price is valid.
  • The customer: name, contact details, site address and their reference or purchase order number.
  • Scope of work: the finished result, in plain words.
  • Price: labour and materials lines, subtotal, GST and one total.
  • Not included and assumptions: the two boxes that stop most arguments about extras.
  • Payment terms: deposit, progress payments, when the final payment is due and how to pay.
  • Acceptance: the customer’s name, signature, date and which version of the quote they accepted.

Filling it in

Write the scope as the result the customer is paying for, not a one-line task. Use the “not included” box for anything likely to come up, with a rough price if you can give one. Show one total: the ACCC says businesses must display the total price as a single figure, including taxes and unavoidable fees. If you are registered for GST, show the GST amount and the total including it.

Always fill in “valid until”. A price accepted months later, after material costs have moved, can wipe out the job’s profit.
